TAKING A DEPOSIT & FINAL PAYMENT

Finalise your quote including customer, stock order and delivery details. New customers will need their own card file added to the system. Let the customer know that to proceed with the quote a deposit of $$$ is required.

PLEASE NOTE: The following process is for retail customers – when quoting an account customer, convert their quote to an invoice once they accept and the value of the quote will be billed to their account.

PROCESS QUOTE DEPOSIT PAYMENT

When the customer accepts the quote, request their credit card details to process the agreed deposit. They can pay for this in store if they choose – at step 8 below, the customer pays by EFT.
1. To process the quote deposit payment, go to a POS register
2. Tap the customer sale button
3. Find your customer
4. Type 20366797 into the barcode field at the top of the POS screen – directly right of QTY:1 field
5. Enter the value of the deposit in the keypad that appears
6. Hit subtotal
7. Select EFT
8. Manually process the card details
9. Go to the customer card or to previous sales from your own terminal or the front counter terminal to email or print the customer a copy of their receipt

ADJUST QUOTE TO ACCOUNT FOR THE PAID DEPOSIT

The next step is to deduct the deposit from the quote so that the outstanding balance owed by the customer is correct
1. Open the quote
2. Hit the Add Stock button
3. Select the Discount/Set Manual Price option
4. Add the quote deposit as a stock item by entering the quote deposit barcode 20366797
5. Set the price as minus the value of the deposit paid – i.e if the deposit paid was $300, enter this quote deposit stock item value as -$300. This will adjust the quote to reflect the outstanding balance only
6. Email or print a copy of the adjusted quote from your own terminal or the front counter terminal

FINAL PAYMENT

Once all the stock has arrived and the order is ready to pick up or deliver, finalise the stock quantities in the quote.
When you are ready to process payment:
1. Open the quote and tap the Suspend Quote in POS button – this will turn the quote into a cash sale and list it in the suspended sales at a POS register
2. Go to a POS register and tap the Suspend Sale button
3. Find your sale
4. Process payment as normal with the customer in person, or by manually processing the card details
5. Go to the customer card or to previous sales from your own terminal or the front counter terminal to email/print a copy of the receipt or to print a copy to give to the yard staff for delivery
